Spaces: A new organization layer to Evernote

Hi Reader –

Although Evernote released 100 new features and improvements in 2024, none were bigger than Spaces, which debuted just days before the ball dropped to welcome in 2025.

Spaces introduce a completely new layer of organization to individual accounts — making it one of the biggest updates in Evernote’s history.

While currently in beta (with features like sharing still in development), Spaces unlock exciting opportunities for organizing your account.

With no documentation released yet from Evernote about Spaces, most users are trying to sort out how to best use them. Inside the Academy, Spaces are already a hot topic, with members experimenting and sharing creative use cases to make the most of this feature.

A gentle remind that as an Evernote Certified Expert, I'm certified by Evernote, but don’t work for them. Contact them directly for feedback on Spaces or subscription questions using the options you find here.

Today, I'm going to orient you to the foundations of Spaces. And, keep an eye out for next weeks newsletter where I'll share my predictions about how Spaces will best be used.

What Are Spaces?

Think of a Space as visual dashboard that bring focus and structure to a project.

Similar to Stacks, Spaces allow you to group notebooks. But, Spaces bring a visual interface to your groupings that stacks don't provide. This visual interface creates a focused "space" from which to work.

Getting Started with Spaces

Spaces have been available in Teams accounts for years, and now they're available in Individual accounts — including Free, Personal, and Professional plans.

How to Create a Space:

It’s easy to get started. Simply head to the Sidebar and click the New Space button. From there, you can give your Space a name and description— both of these can be updated later.

Spaces Have Three Main Sections

  • What’s New: Displays the 15 most recently edited notes in the Space.

  • Pinned Notes: Bookmark your key Space notes for easy access.
🔥 Tip: Drag and drop pinned notes to arrange them in the order that works best for you.

  • All Items: A full list of all the notebooks and notes within the Space.

Example Space from my account where I organize details related to my Mom's care.

Key “Rules” of Spaces

To design better workflows, it’s important to understand how Spaces behave. Here are key rules and behaviors to know:

Notebooks & Spaces

  • Notebooks can be added to (and removed from) Spaces.

  • Notebooks remain in your Notebook List, even when added to a Space.

  • A Notebook can only be part of one Space at a time (just like it can only belong to one Stack).

Notes & Spaces

🚨 This is a big change to the traditional "rules of Evernote"!

Historically, a Note has always had to live in a Notebook. But now, Notes can now live directly in a Space without being in a Notebook.

Notes can appear in a Space in two ways:

  • As part of a Notebook you add to the Space

  • Independently, outside of any Notebook (alongside Notebooks in the “All Items” view)

A Note can only belong to one Space at a time, just like it can only belong to one Notebook if you choose to put it in one.

Stacks & Spaces

  • Stacks cannot be added to Spaces.

  • Stacks are only available in the Notebook List.

Current Space Constraints

  • You can’t delete a Space (yet) — this feature is coming soon.
Workaround: To “delete” a Space, remove all Notes and Notebooks from it, and rename, or, hide the Spaces section in your Sidebar preferences.

  • Sharing Spaces is also in development

  • Mobile functionality is more limited compared to the Desktop and Web versions.

Are you excited about Spaces? Have you given them a try? Hit reply and let me know what you're using them to organize in your account. I'd love to hear.

And, I’ll keep you updated as Spaces continue to evolve.

Till next time –

Stacey
